Presentation of information about departments and other programs at Brandeis University on the world wide web reflects the image of the University and how it is portrayed in the world. The University recognizes the variety of information available from individual departments for posting on the Brandeis web server and respects an environment in which all members of the academic community feel free to communicate within and outside of the University.
The following policies are intended as a guide for design and posting of material on the University web. These policies are analogous to those governing production of official printed University publications. In the case of the catalog, for example, departments are responsible for presenting the information in its own area in accurate and factual terms. The Office of Communications reviews the materials for accuracy and grammar and University style and design. A similar procedure will apply to web materials (see policies section below).
For many visitors, the Brandeis University website is the first encounter with the University. Our goal is to ensure that accurate, timely, and consistent information is published across all University sites. We also want to display professionalism by maintaining a "design umbrella" throughout the website.
We've created a template for all departments and offices of the University. To start, download the one that is right for you (these templates are in ZIP format, and should download and expand on your computer):
Before you begin to work, we'll also need to establish access for you to upload to the server. Contact us for this!

The content steward will be responsible for the specified directory/website and can upload material directly to the web server.
Please test all web materials on multiple platformsVarious versions of Mac and PC/Windows with a variety of web browsersFor example: Internet Explorer, FireFox, Netscape, etc before placing them on the live webserver. All links should be working properly.
All posted material is subject to approval and editing by the webmaster on behalf of the Web and Library Application Services. Any abuse of this privilege or repeated violations of these guidelines will result in immediate and permanent removal.
When you are ready to submit your web pages for approval, please e-mail the webmaster (webmaster@brandeis.edu) with the URL or the files. After approval, your site will be periodically reviewed by the Web and Library Application Services.
To TopAll core departments and programs should use the design template.
The official University typeface is Bauer Bodoni. Other University font typefaces include: Garamond, Helvetica, and Arial, among others. Please consult Web and Library Application Services for more details.
All HTML documents must include the extension *.html. The main document in each subdirectory must be named index.html. Even if there is only one file in a subdirectory, it must be named index.html.
You must avoid spaces and special characters (!@#$%*) in your file names.
For web use, your image files must be either in a gif, jpeg or png format and end with extensions .gif .jpg or .png. To create a digital image from a hardcopy, flatbed and slide scanners are available for your use in on campus. If you have numerous images to be scanned, you may want to consider converting them to a photo-CD.
If you would like to include any application materials, newsletters, or other publications on-line, you will want to use Adobe Acrobat to create a pdf file (do NOT use Word files!). With the Acrobat Reader (can be downloaded for free), an end user can view a pdf file complete with graphics--as if he or she was looking at the printed version.
For added security, we can restrict access to certain web pages using IP address filtering or by using login names and passwords. Please contact us for further details.
If you feel that your website does not meet the Brandeis web publishing standards in terms of design or content, we at Web and Library Application Services can assist you in converting the style, accessibility, navigational abilities and design of your site so that you have a unique, professional website that follows University guidelines.
