Secondary Calendar

Create and manage your secondary calendar
  • Create a new Google calendar
  • Assign viewing & editing permissions to specific users for your new calendar
    Only users you specifically add will be able to view and/or edit your calendar:
    • Make changes AND manage sharing
      This person can see and change all events, including private ones, and share the calendar with other people.
    • Make changes to events
      This person can see and change all events, including private ones.
    • See all event details
      This person can view the details of all events except those marked as private.
    • See free/busy information (no details)
      This person can see when your calendar is booked and when you have free time, but will not be able to see the names or details of any of your events.
  • Share as a Link
    You can also give viewing permissions to other users by sending out a link with the calendar's address. *Note: don't share this address with others unless you want them to see all the events on this calendar:
    • Find your calendar's address
      • In the calendar list on the left side of the page, click the down-arrow next to the appropriate calendar and select Calendar settings.
      • Click the ICAL button in the Private Address section at the bottom of the page, and copy the displayed URL.  You can then email or give this URL to other users.
    • Recipients will need to add this calendar to their own calendar by following these steps:
      • Click the Add down-arrow button at the bottom of the calendar list on the left side of the page, and select Add by URL.
      • Paste the ICAL link into the Public Calendar Address box and then click Add.
  • Set the acceptance level for automatically adding events to the calendar:
    • In the My Calendars list on the left, click on the down-arrow button next to your secondary calendar and select "Calendar settings," then select the "Calendar Details" tab
    • Under "Auto-accept invitations", choose one of the following options:
    • Auto-accept invitations that do not conflict: the calendar will automatically accept invitations when there are no conflicting events scheduled.
    • Automatically add all invitations to this calendar: all invitations will appear on the calendar, regardless of conflicts.
    • Do not show invitations: Only specific users that you have shared the calendar with can create events.
  • Export events from your resource calendar
Use your secondary calendar


If your secondary calendar replaces a resource calendar, once your new secondary calendar is set-up, please contact the Help Desk so we can close the resource calendar.
